How survey responses will be handled

Purpose and voluntary participation

Dr. Noushin Arfatahery, Scientific Lead, and Adewole Benjamin Oyediran, Product and Technical Lead, are jointly responsible for preparing Asterina customer-discovery research to understand aquaculture operators’ work, problems and decision-making needs. The university email below is a contact channel and does not imply university sponsorship.

Participation will be voluntary. You may skip questions or stop before submitting. This is not a diagnosis, sales offer or request for farm datasets. In this open preview, use invented responses only. Written answers and recordings remain in your browser tab and are not sent to us. Closing or reloading the page clears them.

Information requested

Optional information includes your role, species, production system and stage, written answers and voice recordings. Contact information is requested only when you choose a future pilot conversation. Avoid confidential farm records, sensitive personal information and details about other people. A voice recording can identify you even without your name.

Use and access

The proposed purpose is customer discovery. Noushin and Adewole intend to review the responses and may manually transcribe or translate them with the disclosed permission. No automatic transcription, translation or model-training service is configured. Identifiable responses and recordings will not be published or shared with IRTA, other producers or the business coach without separate permission. Shared summaries must first be checked for identifying details.

The proposed consent controls are separate choices for submitting answers, optional audio and the described manual processing, and optional follow-up contact. The final consent wording must be approved before launch. No automated diagnosis or decision about a participant is made.

Hosting and notification providers

The current implementation uses OpenAI ChatGPT Sites, with Cloudflare D1 for answers and R2 for recordings. Brevo sends notification emails containing a response reference and a protected review link, without answers or recordings. The private test sends email only to Adewole. Intended production notifications go to Noushin with Adewole copied.

We cannot promise EU-only storage. Hosting providers may process information internationally under their applicable agreements. The team must confirm the arrangements applicable to these accounts before collection. Provider operational logs, backups and email records can have separate retention rules; application deletion does not prove immediate removal from all provider systems or recipients’ mailboxes.

Proposed retention and current limitation

The target is to remove original audio after 90 days from completed submission, and answers and optional contact details after 12 calendar months. Incomplete server submissions expire after 24 hours. Any manually created transcripts must follow the response’s expiry date. A separate agreement is needed to reuse information for a later pilot.

Expiry-based access restrictions and removal code have been tested. A reliable automatic deletion schedule is not yet provisioned, so these periods must not be promised as an active deletion service. Real producer collection remains disabled until this is resolved. Brevo’s account retention rules and the hosting provider’s backup/log arrangements also require confirmation.

Withdrawal and questions

A saved response receives a private withdrawal link. Keep it secure: anyone with it can remove the response and its recordings. You may also contact arfa.n@fu-berlin.de about access, correction, deletion or withdrawal. Supply the response reference when possible, not the private withdrawal code. If both the link and reference are lost and you supplied no identifying information, we may be unable to locate the response.

Withdrawal does not undo processing already lawfully undertaken. You may raise a concern with the applicable data-protection authority. The final notice must include applicable complaint information.
